Case Study — Professional Sports

AI-Powered Intelligence for Professional Sports Operations

A professional sports franchise had the talent and the budget — but its back office was still running on spreadsheets.

The constraint wasn't talent. It was the work surrounding it.

This championship-caliber NBA franchise had the talent, data, and resources to compete at the highest level.

But too much of its basketball operations capacity was being spent on work that didn't improve the team.

Scheduling across Performance, Coaching, and Scouting consumed hundreds of hours each month. Staff spent hours creating reports, moving information between teams, and coordinating work. Scouts were writing thousands of reports by hand while managing travel across NBA, G League, college, and international games.

The organization had plenty of data.

What it didn't have was a fast enough way to turn that data into useful information when decisions had to be made.

"There are moments where your brain is fried and you've written 700 reports… It's just tedious work."

The problem wasn't expertise.

It was valuable expertise being spent on work that didn't require it.

We found eight opportunities. Three were worth building.

Quelx spent one week inside the basketball operation.

We interviewed 18 leaders and frontline staff, collected nearly 66 survey responses, and mapped how work moved across Coaching, Performance, Scouting, and Front Office functions.

We looked at where time was being lost, where information was getting stuck, and where manual work was slowing decisions.

Eight opportunities emerged. We narrowed them to three.

That distinction matters. An AI strategy isn't a list of everything technology can automate. It's deciding what is worth building.

Where we focused

The three priorities addressed some of the most time-consuming work across the operation.

Scheduling and coordination could be streamlined, giving staff more time for strategic work and player development.

Scouting workflows could be simplified and accelerated, giving scouts more time to evaluate talent instead of writing reports and coordinating logistics.

Information from multiple systems could be brought together faster, helping decision-makers work through large volumes of information when timing mattered.

None of these solutions started with technology.

They started with how the work was already being done.

The goal wasn't to add more technology. It was to give basketball staff more time to do basketball work.

The opportunity

The roadmap identified the potential to reclaim 180 hours every month from manual coordination and administrative work.

It also identified opportunities to speed up decision-making during critical periods such as draft preparation, trade deadlines, and free agency.

But the bigger opportunity was capacity.

More evaluation coverage. Faster access to information. More time for coaches, scouts, and basketball staff to apply judgment and expertise. All without increasing headcount at the same rate.

Each solution could be implemented in roughly 3–4 weeks, making it possible to put the capabilities into practice within the same season.

One week. Three priorities. A clear path forward.

The franchise already knew its people were spending too much time on manual work.

The harder question was knowing which problems were worth solving first.

In one week, Quelx turned that uncertainty into three validated opportunities, a practical implementation roadmap, and a clear view of the capacity each could return.

The objective wasn't to make the basketball operation more technical. It was to give the people making basketball decisions more time to make them.

We didn't show them everything AI could do. We showed them what was worth building.
